42 Acres is a growing Regenerative Estate and Wellbeing Retreat on the outskirts of Frome. Set in 173 acres of land dedicated to nature restoration and wildlife, we have a clear philosophy, focused on biodiversity, inner work and collaboration, in service of human and planetary wellbeing. It is a place where food is grown and foraged onsite, and its suppliers are almost exclusively local and ethical.
We are seeking a Finance & Bookings Administrator to join the business as it continues a period of growth. We are looking for someone to join us on a full or part time basis who enjoys and is confident in collating data for sales and financial reporting, enjoys interacting with customers and clients and thrives working in an agile and fun team. You will need to be a strong communicator who can put your hand to a number of different tasks and be happy to get stuck in with supporting the wider team when necessary. Funding for training and/or a finance qualification could be offered as part of the package for this role – so if you are at the start of your finance career or looking for a change in direction, this is a great opportunity.
This role reports to the Bookings Manager with support from the Head of Finance and General Manager.

This role assists with the day to day activities around sales and bookings including systems, reporting, invoicing and collections, key responsibilities are but not limited to:
Send out all invoices for retreat bookings, chasing deposits and ensuring the PMS system is accurately reflecting each booking
Ensuring all payments are received within stated T&Cs
Ensure that all bookings are recorded in the sales pipeline in order to manage agreed sales targets
Have full knowledge of the businesses’ products, services and pricing to be able to respond to enquiries
Supporting with managing and maintaining external bookings platforms
Set up the supplier pay run twice a month
Support with month end – ensuring the completion of regular tasks including the reconciling of card payments and receipts, izettle sales, ticket sales, Mews, BACS and partnership agreements
Respond to any queries raised by our outsourced bookkeepers
Support Head of Finance with monthly finance commentary
Update sales summary listing bi-weekly report
Ensure procurement controls are in place and robust, such as purchase order system and appropriate approval routes
Work with bookkeepers to ensure all monthly balance sheet reconciliations are accurate and complete
Ensure all capital expenditure is accounted for correctly, regular review and oversight of expenditure claims
Maintain monthly cash flow statements
Other ad hoc projects as required
Excel and Google Sheets skills associated with analysing data and developing reports from system outputs (essential)
Proficient with G-Suite, Microsoft Office, Hospitality & Booking Management Systems (mews), Finance systems (zero) (desirable)
Proficiency with word processing and presentation software (essential)
Excellent time management, planning,and decision-making skills (essential)
Proven problem-solving capabilities (essential)
Previous experience in the hospitality sector (desirable)
Previous experience implementing or working with accounting systems (desirable)
Experience in a similar role (desirable)
